When and how to refresh your property shortlist

Keep a shortlist current by resolving unknowns, archiving stale options and reranking whenever the search profile changes.

A shortlist is a working decision set, not a permanent collection of every home that once looked interesting. Listings change, evidence improves and buyers learn from inspections. A regular refresh prevents stale candidates and outdated assumptions from crowding the view, while preserving enough history to explain what happened.

Resolve the oldest important unknowns first

Sort verification tasks by their ability to change eligibility or ranking. A missing price guide near the hard ceiling matters more than an unconfirmed cosmetic detail. Close the question, record the source and date, then let the result update. If evidence cannot be obtained, keep the uncertainty visible rather than filling it with an assumption.

Archive without erasing the reason

Move sold, withdrawn or clearly unsuitable properties out of the active view, but retain a concise status and decision reason if your data rights and the listing terms permit it. The record prevents repeated work and can reveal patterns in the market or profile. An archive is more useful than a pile of unexplained deleted links.

Rerank after every profile version

A changed budget, location range or hard rule affects more than the property that triggered the discussion. Apply the updated version to every active candidate. This catches homes that become newly eligible and exposes candidates that no longer fit, keeping the shortlist internally consistent.

Keep the active set intentionally small

There is no perfect number, but every active property should have a next action or a clear reason to remain. If the group cannot say what happens next, move the candidate to watch, archive it or remove it. A focused list makes inspections, verification and comparison more deliberate.
